This policy covers ottawastudios.com. In short: we collect only what you send us through our forms, we use it to reply to you, and we do not sell it.

What we collect

When you submit our contact form, we receive the name, email address, subject, and message you enter. If you use our password-protected project submission page, we also receive the email address, subject, description, and any files you upload.

Along with each submission, our server records the IP address, browser user agent, and country the request came from. This is kept as a basic record of the submission and to help us deal with spam and abuse.

We do not use cookies, analytics, advertising, or tracking pixels on this site. Browsing the site without submitting a form leaves us no personal information beyond the standard request logs kept by our hosting provider.

How we use it

We use what you send us to read your message, reply to you, and discuss possible or ongoing work. We do not sell your information, rent it, or use it for advertising, and we do not send marketing email to addresses collected through this site.

Who else sees it

The site runs on Cloudflare, which hosts our pages, stores form submissions, and delivers notification email to our inbox on our behalf. Our own email is handled by Google Workspace. These providers process the information only to provide those services to us. We may also disclose information where the law requires it.

How long we keep it

We keep form submissions and related correspondence for as long as they are useful for the enquiry or project they relate to, and for our own business records after that. You can ask us to delete yours at any time.

Security

Submissions travel over HTTPS and are stored in access-controlled storage. No system is perfectly secure, so please do not send us passwords, financial details, or other highly sensitive information through the forms on this site.

Your choices

You can ask us what information we hold about you, ask us to correct it, or ask us to delete it. Email ian@ottawastudios.com and we will handle the request within a reasonable time. Depending on where you live, you may have further rights under laws such as Canada's PIPEDA or the GDPR.

Children

This site is intended for businesses and adults. We do not knowingly collect information from children. If you believe a child has sent us information, contact us and we will delete it.

Changes

We may update this policy from time to time. The date above shows when it last changed, and the current version always lives at this address.
